Scope
This policy covers the public submission form, the submission status and cancellation screens, admin access controls, and general visits to the website. It also covers data created when you contact us by email for support, privacy, or KVKK-related matters.
Information we collect
We may collect: - contact details and application information from applicants; - uploaded files that support a submission; - timestamps, tracking code details, and consent records tied to submission actions; - IP address, user-agent data, and related technical security records; - limited analytics data about visits and page usage; - information you include in support or privacy-related emails.
How we use information
We use information to: - receive, review, and follow up on submissions; - contact applicants about relevant next steps; - send receipt and process emails; - keep the service secure and limit abuse; - diagnose errors, measure site performance, and improve the platform; - comply with legal requirements and defend rights where necessary.
Cookies and similar technologies
The platform may use both essential and measurement-related technologies. - If an administrator logs in, an HTTP-only admin session cookie may be set to maintain a secure authenticated session. - Google Analytics 4 may be used to understand traffic and page usage. In that setup, IP anonymization is enabled, Google Signals is disabled, and ad personalization signals are disabled. - Sentry or similar monitoring tools may be used for error and performance tracking. Submission bodies and sensitive fields are stripped or masked where possible before data is sent to those tools. You can manage some cookies through your browser settings, but disabling essential technical cookies may affect functionality.
Sharing limits
We do not publish your submission content, uploaded files, or contact details on the platform's official channels, social media accounts, or any other public-facing channel unless the applicant has given express written consent or there is a legal obligation to do so. However, data may be processed by technical service providers involved in hosting, database operations, email delivery, analytics, security, and error monitoring, only to the extent required for those services. Data may also be disclosed where a legal obligation or lawful authority requires it. The platform cannot be held responsible for any consequences arising from disclosures the applicant carries out at their own initiative on social media accounts, public forums, the press, or any other channel outside the platform.
Retention, cancellation, and deletion
Submission data is retained for as long as it is needed for review and any legitimate follow-up related to that submission. If you cancel a submission through the public tracking-code flow, the submission content, personal data, and uploaded files are removed from the operational system. A limited cancellation record may remain for admin traceability. Cancellation or deletion requests for submissions that have moved into the offer stage, that are subject to a legal obligation, or that are involved in an active dispute are reviewed separately, based on the nature of the specific process and applicable law. Some technical or legal records may be kept longer where required for compliance, security review, dispute handling, or legal defense.
Security
We use technical and organizational measures such as access controls, admin session protection, non-public file access, security headers, and log redaction to reduce the risk of unauthorized access or disclosure. At the same time, no internet-based transmission or storage method can be guaranteed to be absolutely secure. Please use appropriate care when deciding what to include in your submission and attachments. The platform takes care to store content shared with us under the applicant's consent, but cannot be held responsible where the submission content was leaked through other channels before it reached us, had already been publicly disclosed, or overlaps with third-party rights.
